Roadmap to eApplications

With PeopleSoft eApplications, organizations can dramatically improve productivity while maximizing the strategic value of support functions such as human resources and finance. Applications such as eProfile and eTrain allow employees to securely view or make changes to their information from any location with a web browser without the need to go through HR or Accounting.

These results are not limited to human resources. They can be extended to any business function that requires interaction with internal or external customers. Forrester Research notes that a self-service approach can slash the cost of customer interactions from as much as $35 on the phone to $0.75 online—a potential savings of 98 percent on just one transaction. (CIO Insight, June 1, 2004)

However, to successfully implement these applications, organizations need to understand the challenges a self-service deployment may face within their organizational structure and culture. These challenges can include:

  • Uncertainty: What eApplications should be rolled out and in what order?
  • Diverse employee populations
  • Providing access to all employees
  • Employee PC and internet skills
  • Impact to managers’ workload
  • IT infrastructure and security
  • Training concerns

So many questions can seem overwhelming. No wonder many organizations have chosen to postpone taking advantage of the Enterprise eApplications!

Roadmap to "eApps" Success

CIBER can help. Our highly skilled team can help you address the impact self-service can have on your organization. We collaborate with your team to develop an implementation plan that ensures careful communication and planning at each step. We can help you determine which self-service applications will deliver the greatest value for your organization with the least amount of risk and can help you achieve quick wins that will drive demand for additional self-service solutions.

The key to success for CIBER's Roadmap to eApplications program is helping your organization manage the change and stress that sometimes accompany self-service implementations. Moving from paper-based to web-based processes requires planning, training, communication and motivation to minimize resistance and help employees understand how the new way of doing business benefits them and the organization.

CIBER's eApplications Approach

CIBER follows a simple yet highly effective five-step process that helps your organization drive maximum value from the eApplications with minimum risk. These steps include:

Leadership and Stakeholders Analysis: Our consultants begin by working with your organization's leadership and key stakeholders to ensure that your deployment of self-service is aligned with and supports your business strategy. This process uncovers key business drivers, cultural challenges, organizational readiness, communication goals and other important factors necessary to ensure our approach will match your organizations critical success factors.

Self-Service Strategy Workshop: CIBER works with key members of your team to review your organization's manager and employee self-service options. Our consultants will review your current business processes, recommend processes that are appropriate for manager and employee self-service in your organization and recommend most effective order to implement those processes. The results of the workshop will be documented.

Self-Service Fit/Gap Analysis: Self-service applications are unique because they are available from within or outside your organization. It is important to ensure that data is presented in a way that makes sense within the context of your organization's culture, policies and communication standards. CIBER will work with your team to define the proper look, feel and functionality of your eApplications, and will document our findings along with alternatives, recommendations and estimates of effort.

Technology Review and Assessment: CIBER assess your organization’s technical infrastructure and ability to support manager and employee self-service. This assessment includes review of your employee population, their available system access, unique network challenges and uncovers any skill requirements that may need to be incorporated into the overall training plans. We can also assist with the selection of third-party software and tools to address any remote and wireless access needs.

Planning the Self-Service Roll-out: With analysis and decision-making complete, CIBER will work with the appropriate team members to develop a plan to support each phase of your organization’s self-service implementation project. Our team will also develop a detailed plan to address development, testing, training and implementation. As part of the eApplication Roadmap we will help you plan the first pilot deployment, and guide your team through the steps required to develop your communication plan and employee support approach.
